    Our Client are leading Training Education Provider and are looking to recruit a Assistant Operations Manager.


    PURPOSE OF JOB: To lead and manage a staff group to maximise contract performance, deliver quality provision and exceed the expectations of partners and learners through quality of delivery.

    Essential for the position is:

    Good communication skills
    D32/D33/D34 or A/V units


    Key responsibilities


    1.Work with Operations manager to ensure contract performance by fully understanding contractual obligations in relation to progressions and performance targets.


    2.Appraise and develop staff as required. Agree, monitor and set targets with staff members to ensure both financial and contractual obligations are met and exceeded. Ensure that appropriate training records are maintained.

    3.Monitor classroom capacities and classroom management to ensure sufficient staff coverage through monitoring of holidays, sickness and other absences. Recruit, manage, develop, train and maintain discipline of staff employed. Provide classroom cover when deemed necessary by Operations Manager.


    4.Hold regular team meetings to discuss team performance and develop an action plan for improvement where required. Encourage and ensure a quality culture for continuous improvement. Motivate staff through delegation and empowerment, making best use of people’s strengths.

    5.Ensure all contracts are run in accordance with external and internal procedures, e.g. achieving low risk external and internal audits and accurate and timely paperwork. Ensure delivery staff, have the occupational competence and assessment skills to achieve the Company’s performance objectives.


    6.Train and develop staff in accordance with the QCA guidelines and complete a record of the training provided

    7.Ensure there is consistency in the approach to the delivery and assessment of all basic skills, key/functional skills and linked qualifications. Regularly review schemes of work, lesson plans and supporting resources and work with the tutors to evaluate the effectiveness of sessions through learner feedback and observations of teaching and learning.

    8.Be responsible for ensuring Internal Verification is carried out in line with Awarding Body requirements. Review Quality Assurance Manual and all documentation on an annual basis with Quality Manager. Liaising, co-ordination and management, of relevant External Verifier/Moderation Visits and actions points if applicable

    9.Support tutoring staff with completion of contractual paperwork e.g. ILP’s, reviews and attendance records. Ensure these are completed accurately and handed in to admin in a timely fashion. Increase tutor knowledge and use of SMART target setting to increase the quality of paperwork completed.

    10.To assist Foundation Operations Manager in interviewing prospective delivery/support staff. .


    To undertake any other duties deemed necessary.

    •To comply with all company processes and procedures and adheres to deadlines.

    •Completion of all necessary administration eg reviews, timesheets, lesson plans determined by external and internal requirements in line with our Client, contractual deadlines.

    •Promote and share good practice throughout.

    •Produce statistical and management information.

    •Committed to continuous improvement – personal and organisational.

    •Increase the profile of the company by assisting in the marketing and interviewing.

    •To ensure all paperwork is completed correctly and on time and in line with organizational requirements.

    •To keep all appropriate records.

    •To keep all equipment, classrooms / areas clean, tidy and organised at all times.

    •To undergo internal and external training when required.

    •To ensure implementation of the Health & Safety, Equal Opportunities policies and Quality systems at all times.

    •To undertake and carry out any additional duties deemed necessary by line management.

    •IT literate.

    •Ability to encourage, inspire and motivate learners and candidates through good use of communication and interpersonal skills.

    •Ability to prioritise workload and make decisions.

    Knowledge required

    Previous people management responsibility.
    Experience gained within a commercial, customer-focused environment.
    Uses and analyses statistical data to manage.
    Health & Safety.
    Commercially aware.
    Quality driven.
